Product Privacy Statement

• The Short Version

  Embedsy Portal is deployed into your own Microsoft Azure subscription, in the Azure region you choose. Your reports, your data, and your users' information stay in your environment. Embedsy does not host, store, or process your business data on its own infrastructure.

• What Stays in Your Environment

  Everything the portal works with lives inside your Azure subscription:

  • Power BI report content and the underlying business data

  • End-user accounts, credentials, and access configurations

  • Custom data apps built with Embedsy Studio, including any data they read or write

  • Portal configuration, branding, and logs

  None of this is transmitted to Embedsy.

• What Embedsy Receives

  To operate billing, your deployment reports usage quantities to our billing pipeline: the number of active users and the usage of premium features you have activated, per billing dimension. These are counts and quantities only — they contain no report content, no business data, and no end-user personal data. If you purchased through the Microsoft Commercial Marketplace, we forward these quantities to Microsoft's metering service, which is how your Azure invoice is calculated. Otherwise, we use them to invoice you directly.

  In addition, Embedsy processes the account and billing information you provide when purchasing and managing your subscription (company name, admin contact, plan details). We use this information to manage your subscription and billing and to communicate with you about the product — nothing else. We retain it as described under Data Retention and Deletion below.

  No other data leaves your environment.

• Support Access

  Embedsy does not access the data inside your portal in the normal course of operation. We access your environment only when you ask for support that requires it. During such support work, our staff may see data inside your portal, which can include your business data and your users' personal data. We use it solely to resolve your request.

• Your Role and Ours

  For all data inside your deployed portal, you are the data controller. Your end users are covered by your privacy policy, not this one. Where Embedsy handles data on your behalf — support you have requested and the usage quantities described above — Embedsy GmbH acts as a data processor and processes that data only on your instructions and only to the extent needed.

• Subprocessors

  Embedsy uses no subprocessors that access data originating from your deployed portal. If you purchased through the Microsoft Commercial Marketplace, usage quantities for billing are transmitted to Microsoft (Marketplace metering service) as an inherent part of Marketplace billing.

• Data Retention and Deletion

  Because all portal resources live in your Azure subscription, removing them removes your data: when you delete the portal's resources, all data in them is deleted by Azure as part of that operation. For Marketplace deployments, this means deleting the managed application, which removes the managed resource group and everything it contains. Embedsy retains billing records (usage quantities and account information) as required for accounting and legal obligations under Swiss law.

• Your Rights

  For the account and billing information Embedsy holds about you, you have the rights provided by the Swiss Federal Act on Data Protection (FADP) and, where it applies, the GDPR: you may request access to your data, have it corrected or deleted, restrict or object to its processing, and receive a copy of it. To exercise any of these rights, contact us using the details below. You also have the right to lodge a complaint with a supervisory authority — in Switzerland, the Federal Data Protection and Information Commissioner (FDPIC).

  For data inside your deployed portal, please contact your own organization — as the data controller, it is responsible for handling your request.
